Fleet Cost Reduction Strategies
With the growing fiscal constraints on businesses and government
organizations many operations are seeking ways to reduce and control
fleet related costs. However, the approach of most of these entities is
to stop spend money on new vehicle purchases, cut maintenance budgets,
and suspend driving activities – which ultimately translates into
reduced service levels and productivity. As the industry leading
provider of fleet management consulting we have assisted hundreds of
clients reduce and control costs through proven methods that provide
returns that far exceed our consulting fees.
Some well established processes for reducing costs include:
Optimal Fleet Replacement Planning - Ownership of a fleet is by
far the largest expense associated with any vehicle-centric business.
Many operations respond to fiscally difficult times by deferring the
replacement of vehicles and equipment, but this approach results in an
aging fleet with higher operating costs, reduced reliability, and a
significant reduction in value due to depreciation. Business owners and
government agencies can reduce costs by refocusing their administration
efforts on optimizing their fleet replacement planning activities in the
following areas:
-
Acquiring
appropriate vehicles with the greatest value over their
lifecycle (not just the lowest purchase price);
-
Achieving
optimal asset life cycles by calculating the total cost of
ownership (including initial purchase price, resale value,
operating costs, and the cost of money);
-
Realizing
optimal remarketing values;
-
Utilizing
alternative financing methods, such as commercial debt
financing, leases, commercial paper, certificates of
participation, and an internal sinking fund; and
Fleet reduction by optimizing replacement and disposal
|
Fleet Rightsizing - Periodic utilization reviews and rightsizing
studies can pay for themselves many times over in increased productivity
and lower operating and capital costs. Even in well-managed fleet
operations with solid purchase justification procedures and cost
chargeback rules, a periodic rightsizing review will usually uncover
vehicles, equipment units, and other assets that simply are no longer
needed. In some cases, operations can reduce their fleet size by as much
as 20 percent while lowering their replacement costs, repair bills, and
discretionary-trip expenses.
Personally Owned Vehicle (POV) Reimbursement Programs - The use
of personally owned vehicles (POVs) can be a valuable component of an
overall fleet management program. If properly managed and documented,
POV usage can supplement the use of fleet vehicles, enhance user
convenience and job performance, and allow the organization to operate
with fewer owned vehicles. However, POV programs have various taxation
implications and record management requirements that must be addressed
in order to be considered IRS compliant. Mercury has a significant
amount of experience with POV programs and management. Our studies go
well beyond calculating an applicable mileage rate to cover estimates of
current operating costs. We examine your policies and procedures to
develop the foundation for the strategic elements that will bring about
immediate cost savings and promote long-term, cost-conscious use of POV
reimbursement as an integrated fleet management component.
Fuel Management - Fuel is one of the most significant variable
costs in a fleet operation and most difficult to control. By utilizing
technology, aggressive management and auditing, fuel hedging, and
outsourcing and purchasing card program many fleet operations can reduce
the variability and cost of fuel. Additionally, fleet operations can
implement more fuel efficient vehicles, right-size its vehicle
inventory, implement sound utilization policies, and enforce monitoring
solutions.
Mercury has assisted many public and private organizations with the
deign, implementation, and management of their fleet fueling operations,
which has resulted in significant cost savings, improved customer
service, and employee efficiency.
Preventive Maintenance Program - A well-designed program of
preventive maintenance can extend the life of vehicles and equipment,
increase residual value, and reduce costly repairs. These results help
the fleet management organization to attain their ultimate objective:
optimal fleet performance and reliability at the lowest possible cost.
Mercury’s consultants have assisted numerous operations to reach that
objective, both by revamping existing preventive maintenance programs
and by establishing new ones. Our many years of experience in the fleet
business have allowed us to build a formidable storehouse of maintenance
intelligence and a comprehensive, diversified database of vehicle and
equipment statistics that we use to full advantage in our work for
clients. |
